Exciting Job Opportunity: Higher Clerical Officer
We are currently looking for a Clerical Officer to join our North West Cancer Centre based in Derry/Londoderry. Grade: Band 3
Location: Derry/Londoderry North West Cancer Centre, Altnagelvin Hospital
Key Requirements:
... - 5 GCSE's (Grades A-C) to include English Language and Maths or equivalent or higher educational standard and one year's administrative experience; OR
- NVQ Level 2 in Business Administration or equivalent or higher educational standard and one year's administrative* experience; OR 3 years administrative experience.
- Experience in using Hospital Information Systems such as PAS, Patient Centre, ECR, RISOH etc.
- Provide examples of working with Microsoft Office including Outlook, Powerpoint, Excel and Word.
- Ability to work well within a team.
- Experience working as part of a team with successful outcomes.
Main Responsibilities:
- Provide a full administrative support service to the team and other professionals.
- Organise the office and carry out routine administrative duties which include the development and maintenance of an efficient filing system, brought forward system, mail distribution, photo copying, binding and ensure relevant charts are available for clinics and members of the Multidisciplinary Team.
- Open and record incoming mail and direct correspondence for the Team or otherwise deal with routine items.
- Facilitate communication within the department by liaising with relevant staff.
- Dealing with telephone calls and enquiries and taking relevant action as appropriate.
- A high level of word processing skills will be required and the post holder will also be required to develop skills on Microsoft Office software and other computer packages as and when required.
- Provide administrative support in the production of policies and reports produced within the department.
- The day to day supervision of the clerical officer team within the centre to include answering queries and advising the team appropriately.
- Management of stationary stock levels throughout the department using stock catalogue and non-stock requisitions so levels of stock are adequately maintained.
- Be the point of contact for the booking of meeting rooms for the North West Cancer Centre.
- Support Freedom Of Information (FOI) and adhoc information requests.
- Plan and devise weekly staff rota for the clerical officer team.
- Deal with coding queries and update Hospital Information Systems appropriately and correctly.
- Provide and support ongoing training of existing staff and full training for new team members as well as updating Standard Operating Policies (SOP's) and training manuals.
