Job Summary :
We are seeking a highly organized and customer-focused Administrative Assistant to join our Service Support Business Unit. In this role, you will provide essential administrative support to internal and external stakeholders, ensuring seamless operations within the Directorate.

Key Responsibilities:
- Provide exemplary administrative support to internal and external customers.
- Guide managers on financial, systems, and procurement matters.
- Produce reports for management and committees.
- Assist in developing business plans and Key Performance Indicators (KPIs).
- Support the Directorate's business planning efforts.
- Monitor administrative systems, recommend improvements, and implement changes.
- Ensure consistent methods across administrative units.
- Produce technical documents and standard operating procedures.
- Act as the initial point of contact for queries within the Business Unit.
- Handle general correspondence and draft responses.
General Responsibilities:
- Assist in preparing business cases, tenders, and quotations.
- Provide high-level customer service and manage queries and complaints
- Maintain effective relationships with stakeholders.
- Represent the Business Manager when needed.
- Enhance and protect NIFRS' reputation and public profile.
- Adhere to NIFRS policies, including equality and health & safety.
- Direct managers and officers to appropriate resources.
- Undertake project work as assigned.
- Participate in recruitment procedures.
- Perform other duties as assigned to meet organizational needs
Qualifications and Skills:
- At least 5 GCSEs (Grade C or above), including English and Maths.
- Minimum 2 years' experience in a demanding office environment.
- Proficiency in Windows, Microsoft applications, especially databases and MS Word.
- Strong planning, organizational, and communication skills.
