We are seeking a detail-oriented and organised Administrative Assistant/Executive Assistant II to join our team. This role supports a variety of administrative tasks and provides critical support to ensure seamless operations.
Key Responsibilities:
Process, track, and manage approximately 450 accounts payable invoices monthly, ensuring accurate coding and timely authorisation.
Collaborate with procurement to verify invoice pricing and quantities, ensuring alignment with purchase orders.
Serve as the primary contact for external vendors, addressing queries regarding invoices, bank details, payments, and supplier setup.
Handle weekly and ad hoc supplier payments, including BACS and international transactions in GBP, EUR, and USD.
Maintain accurate supplier information, manage deposits, and ensure balance payments are made as goods are shipped.
Support cash flow forecasting by maintaining up-to-date reports, reconciling transactions in Sage, and scheduling supplier payments.
Prepare daily and monthly sales reports, ensuring accurate data transfer from ERP systems to Sage and comparing actual versus forecasted sales.
Perform supplier statement reconciliations and resolve discrepancies effectively.
Qualifications:
High School Diploma or equivalent (required).
0-2 years of financial or similar experience.
Familiarity with Sage accounting software is preferred but not essential.
Excellent organisational skills and the ability to manage confidential information.
Strong independent working capabilities and time management skills.
Compensation:
Pay range of £12.50 - £13.50 per hour.
