With over 30 years' experience the business specialises in the management of blocks of flats and offers other related services such as insurance broking, lettings management, surveying, company secretarial and the provision of concierge staff. We also administer the employment (payroll and HR support) for a further 150-200 staff employed directly by our clients.

Role Profile
The Property Manager for the Commercial Portfolio will be responsible for delivering comprehensive management services to retained clients. This role involves overseeing a mixed-use commercial property portfolio, ensuring adherence to lease agreements, service charge protocols, and all applicable landlord and tenant legislation. With a focus on maintaining high standards in service delivery and property compliance, the Property Manager will support property maintenance, manage tenant relationships, and contribute to the financial performance of the portfolio.
Primary Responsibilities
Client and Tenant Relationship Management
- Provide a professional, client-focused property management service to retained clients, ensuring a comprehensive and seamless management experience.
- Demonstrate strong knowledge of commercial lease covenants, reviewing and addressing any obligations as outlined in lease agreements.
- Maintain updated knowledge of the Service Charge Code for multi-occupancy commercial buildings and apply it to relevant properties in the portfolio.
- Ensure compliance with current Landlord & Tenant legislation and other statutory requirements relevant to commercial property management.
Property Inspections and Compliance
- Conduct regular property inspections as per the Management Agreement, verifying tenant compliance with lease terms and conditions.
- Perform periodic inspections of common areas in multi-let buildings to ensure health and safety standards are met, consistent with risk assessments.
Maintenance and Service Charge Management
- Respond promptly to tenant maintenance inquiries, identifying and analysing minor building defects and coordinating appropriate contractor actions.
- Develop and review service charge budgets regularly, ensuring effective allocation of resources.
- Solicit competitive quotes from contractors for required maintenance or improvement works and issue work orders through systems such as Reapit and PMS.
- Oversee work completion, updating relevant management systems, and ensuring accuracy and completeness of maintenance records.
- Process and approve supplier invoices in a timely manner.
- Monitor contractor performance, maintain contractor guarantees, and manage the secure issuance and return of keys for contractors.
Administrative and Financial Support
- Draft and distribute client, tenant, contractor, and utility correspondence as necessary.
- Ensure efficient management of both paper and electronic correspondence to maintain workflow and timely responses.
- Assist with essential administrative tasks to ensure exceptional service delivery.
- Maintain an organized diary for key events not covered by internal systems, updating records in Reapit and/or PMS as needed.
- Proofread periodic rent demands for accuracy, manage mailing processes, and assist with credit control and arrears management.
- Collaborate with joint agents in marketing vacant commercial units, assessing prospective tenants, and coordinating with clients and solicitors as needed.
Team Support and Professional Development
- Support the management team in achieving income and performance targets for the portfolio.
- Provide administrative cover for the Romford Commercial Property Manager during their absence.
- When appropriate, offer technical guidance to residential lettings staff on commercial portfolio matters.
