Partner Relationship Manager

This role is a dynamic and varied role. This is an equivalent role of Property Manager, the main difference being that you are managing a portfolio of 'Partners' who manage their own business instead of a portfolio of properties and coaching the Partners through issues that may arise whilst they manage their blocks guiding them to internal departments that may assist or using practical Property Management knowledge to assist a resolution. The key to this role is building strong and robust relationships with the Partners.
The core of this role is to manage the interactions with existing and potential Partners. Ensuring all Partners are set up correctly, which involves liaison with the Integration team, Training team, Essential Services and Finance teams. The purpose of the role is to maximise the value of the relationship between Partners and B-hive Essential Services offerings, maintain a good rapport for which customer service is key. By providing Partners with the correct tools and support this will encourage and nurture growth and in turn increase profitability for B-hive. The role also ensures regular auditing and checking in line with compliance.
The role requires an experienced Property manager that will support the Partners with Property Management related queries and support in areas such as budgeting and advising on the running and management of a building/development.
Primary Responsibilities
- Coaching our Partners to manage their portfolios compliantly by advising them on Property Management related issues as they arise
- Your client portfolio is our Partners (business to business relationships), with the Partners owning their own business and managing their own client relationships
- Little or no interaction with the end RMC/Leaseholder/Freeholder - it's up to the Partners to manage this relationship
- Overseeing budgets prepared by Partners to ensure all compliance via Essential Services is captured
- Guiding Partners to our internal departments when they require a particular skillset
- Managing the onboarding process of a Partner and their subsequent stock
- Close liaison and support with the Senior Business Administrator to ensure the Partner is set up correctly following signing of a Licence and updating our bespoke CRM system for tracking. Including the following:
- A) Marketing/branded collateral coordination with the Marketing team
- B) Collation of evidence of Mandatory Insurances
- C) VAT registration (ensure application for voluntary status is advised if not already VAT registered)
- D) Obtain evidence for TPO or Property Redress (The Property Ombudsman) that cover is in place for Residential Leasehold Management
- E) Self-billing agreement form completed and returned
- F) Registering Partner for Training programme & Learning Hive access
- Advising Partners on budgeting and other Property Management related tasks
- Ensuring Partner Dwellant portals are set up in a timely manner and correctly and arranging Dwellant training for new Partners
- Ensure induction meetings take place between Partners and internal teams such as Essential Services and Finance teams - awareness of the services offered
- Ensure Partners are aware and informed of processes in place and specific contacts for the internal departments - including each team's SLA's
- Maintaining an operational overview of B-hive Property Solutions
- Block onboarding
- Partners aware of services offered and ensure they incorporate these in the budgets, prior to management agreements being signed.
- Regular updates of Pipelines
- Issue tri-partite management agreements for signature to partners/clients via DocuSign and monitor the signature process
- Request bank accounts be opened for new blocks being onboarded
- Send Site Upload notification to Integration team to alert of a new MA being signed and start the Integration process
- Assist/Support Partner with information gathering from previous agents
- Collating new and existing building checklists to provide to the Integration team - including Management agreement, Lease, Lease review, Insurance documents, H&S, Sites plans, current and previous years accounts, tenant balances, contractor lists, assessment of ongoing issues.
- Collating utility bills to pass to broker - Energy Portfolio
- Liaison with CAS and Essential Services as appropriate
- Monitor property set up on PMS/Dwellant
- Review new property on Dwellant with Partner - view and check content, making sure all loaded and check list complete, ensure eCommunications are set up and active
- Ongoing - Act as a conduit and an escalation contact between Partner and relevant Essential Services and Client Finance teams
- Ongoing support on training, leasehold legislation, best practice, etc
- Arrange Partner Modules 1, 2, and 3 training in conjunction with the Group Training team
- Assist with the preparation of Partner Audits and compliance monitoring
- Updating internal Processes and Internal notifications periodically and advising all appropriate teams and Partners as appropriate
- Minimum monthly meetings with Partners to check in: all running smoothly, Partners operating per the Licence and the Manual, etc
- In-person meetings with Partners a minimum of once a year
- Assisting with tracking of renewals - Insurance, H&S, budgets etc.
- Participating on developments for the team - bespoke CRM, PMS Trackers and Dwellant testing
Secondary Responsibilities
- Attendance at meetings at Vegner/HML office locations a minimum of 2 times a month
- Attendance at meetings at Partners offices, as and if required
- Attendance at events - training or career development
- Preparation of reports and updates for regular B-Hive team meetings
- Minimum 2 years' block management experience
- Good knowledge of Microsoft Office - Excel, Work, PowerPoint and Outlook
- IRPM qualified or willing to qualify within 12 months
- Strong communication skills, both written and verbal
- Excellent interpersonal, team-working skills
- Excellent analytical skills
- Excellent customer service skills and ability to be responsive and patient
- Excellent organisation skills with the ability to effectively prioritise work
- Ability to produce work accurately
