Responsibilities:
Answering and announcing telephone calls to the office.
Full responsibility of meeting rooms and meeting room bookings.
Assisting PA to MD with admin duties/office management.
Diary coordination of team members and booking of internal and external meetings.
Organise refreshments for meetings with external guests as required.

Ensure reception area and meeting rooms are well presented at all times.
Updating the project directory on a regular basis and distributing internally to the team.
Updating the office seating plan and distributing internally.
Provide administrative support to the office as and when required.
Preparation of all necessary documentation for upcoming meetings, including printing,
photocopying, scanning and binding.
Liaise with external consultants and contractors when necessary.
Ordering stationary and monitoring stock levels.
Manage weekly deliveries for the team, liaise with delivery drivers.
General data entry.
Any other ad hoc tasks as required.
Manage all incoming and outgoing post.
Liaise with cleaners.
Full responsibility of corporate mobile phones including ordering, tracking, raising
purchase order numbers and invoices.
Assisting the Commercial and Technical teams with maintaining their filing systems,
holiday forms, processing invoices, raising purchase orders, site instruction system and
on boarding of new starters.
Is able to demonstrate:
Flawless communication skills.
Well presented.
Strong ability to network and quickly build a rapport with team members and sub-
contractors.
Methodical approach to workload, with excellent organisational skills.
Basic knowledge of Microsoft Office programmes.
Able to demonstrate discretion when dealing with sensitive and confidential matters.
Able to use initiative.
Excellent time management skills, with good ability to prioritise and manage expectations
effectively.
