Job Summary: We are seeking a proactive and experienced Site Secretary to support the administrative functions of our construction site. The ideal candidate will have a solid background in the construction industry, a basic understanding of Electronic Document Management Systems (EDMS), and the ability to drive to the site, which is located in a hard-to-reach area by public transport. This role is crucial for maintaining organized, efficient, and effective site operations, ensuring seamless communication, and supporting project management activities.
Key Responsibilities:
- Provide comprehensive administrative support to the site management team.
- Manage and maintain site documentation, including electronic and physical files, ensuring all records are up-to-date and easily accessible.
- Utilize EDMS to upload, track, and manage documents, ensuring compliance with company and project-specific protocols.
- Coordinate and schedule meetings, prepare agendas, take minutes, and distribute action points.
- Handle incoming and outgoing correspondence, ensuring timely and accurate communication.
- Assist in the preparation of reports, presentations, and project documentation as required.
- Maintain and update site office records, including attendance logs, visitor records, and health and safety documentation.
- Liaise with subcontractors, suppliers, and other stakeholders to facilitate smooth site operations.
- Monitor and order site office supplies, ensuring the office is well-equipped at all times.
- Support the site team in adhering to project timelines, budgets, and quality standards.
- Drive to the site daily, ensuring reliable transportation.
Qualifications:
- Proven experience as a Site Secretary or similar role within the construction industry is mandatory.
- Basic understanding of EDMS systems and their application in a construction setting.
- Valid driver's license and reliable transportation.
- Excellent organizational skills with a strong attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong communication skills, both written and verbal.
- Ability to multitask and prioritize workload in a fast-paced environment.
- Knowledge of construction terminology and processes.
- High level of integrity and discretion in handling confidential information.
- Strong interpersonal skills and the ability to work collaboratively with diverse teams.
Desirable Attributes:
- Familiarity with industry-specific software and tools.
- Previous experience working on large-scale construction projects.
